POSITION SUMMARY
The Assistant Patent Paralegal will work closely with our legal team to gain hands-on experience in all aspects of patent prosecution support. This includes helping manage client communications, tracking deadlines, organizing case files, and assisting with the preparation and review of legal documents. You’ll also be involved in supporting scheduling and follow-ups, learning to use a variety of legal and productivity software tools. No prior paralegal experience is required, but administrative or office support experience is preferred. With a strong emphasis on mentorship and cross-training, this position offers a structured pathway for professional growth within our firm.

Salary Range: $40,000-$50,000. Compensation is determined based on skills, and experience. We offer competitive compensation aligned with industry standards for this role. As a tech-enabled law firm, the position is fully remote with a flexible schedule.

Responsibilities:
Manage client communication workflows by monitoring the firm’s primary inbox, directing messages to the appropriate team members, responding to standard inquiries, and assisting with follow-up via email, voicemail, and other communication channels.
Organize and maintain digital files and documentation, ensuring that emails, letters, and forms are accurately saved in the appropriate systems and folders.
Track key deadlines and action items by updating internal checklists, calendars, and task management tools under the guidance of senior team members.
Coordinate and schedule client meetings, including sending calendar invites, preparing meeting materials, and supporting follow-up activities.
Assist with administrative billing processes, such as recording payments and updating internal records.
Support the coordination of international patent activities by organizing documentation and communicating required information to partners outside the United States.
Participate in the preparation and formatting of standard legal documents and correspondence as part of your ongoing training.
Contribute to the documentation and improvement of internal processes and workflows as part of a structured development program.
Collaborate with attorneys, paralegals, and other team members to ensure efficient daily operations.
Serve as a backup on the firm’s phone system, assisting with answering calls, routing messages, and processing voicemails as needed.
Perform additional administrative and support duties as assigned. This is a growth-oriented position with opportunities for hands-on learning and professional development.

EDUCATION AND EXPERIENCE:
Associate's degree is preferred.
1–2 years of administrative, or office support experience preferred.
Demonstrated ability to manage multiple tasks, follow instructions, and maintain attention to detail in a professional setting.
Proficiency in MS Office Suite (Word, Excel, Teams, Sharepoint).
PHYSICAL REQUIREMENTS:
Ability to work at a computer for extended periods of time.
Frequent communication via phone, email, and video conference.
Ability to maintain focus and attention to detail in a fast-paced environment.
Minimal physical exertion, but the role requires sustained concentration on complex tasks.
